Share a client portal link

Open the transaction, click the globe icon labeled Client portal in its header, and click Generate Portal. The link shows your client her closing timeline, checklists, and files for that one transaction, protected only by her last name, with no account or password to set up.
Before you start
- The transaction must be saved before the Client portal icon appears in its header. It is hidden entirely on an unsaved transaction, and on any Referral-type deal.
- The Generate Portal button stays disabled until the transaction's first client has a last name on file. KeyFlow verifies your client by that name, so it has to exist before a portal can.
Steps
Open the transaction and click the globe icon in the header, labeled Client portal.
Fictional workspace: synthetic transaction. Set an Expiration date, or leave it on its 90-day default. KeyFlow will not accept a date more than six months out.
Click Generate Portal.
Click Copy Link to put the URL on your clipboard, ready to text or email to your client. Open in New Tab previews the same page for you.
What you should see
Once generated, the panel switches to showing the live link: its status (active, expired, or revoked), the verification last name, when it expires, when it was last visited, and how many times. That panel, not a new page, is where you come back to copy the link again later.
What your client sees
She lands on a property header carrying your workspace's logo and the address, no login screen in front of it.
Down the left, your contact card sits above the closing path, the same milestone timeline you track, marked complete, pending, or upcoming exactly as it is on your side.
Checklists and files sit on the right; she can check off her own items and download anything you have shared, all without creating an account.
What it deliberately does not show
The portal is a filtered view, and the filtering is the feature, not a limitation.
Never your commission, your split, or what you clear on the deal. There is no setting that changes this. Not your internal checklist either: your tasks and hers are two separate lists, and showing her the things she cannot act on would only manufacture worry with nothing she can do about it. And obviously, not your other clients' files. A portal scoped to one transaction stays scoped to one transaction.
If you represent the seller and have built out a Seller Net Sheet, she does see that: her estimated closing costs, not your personal split.
If the link needs to change
Click Regenerate Link in the same panel to issue a new link for the same transaction. The old link stops working the instant you do, even if your client still has it open, and KeyFlow asks you to confirm first, because there is no undo once you accept. Use it when you genuinely believe the wrong person has the link, not as routine housekeeping. Changing the expiration date on an existing portal takes the same path: update the date and click Regenerate Link, since there is no way to extend the expiration without also issuing a new link.
To take the portal down entirely rather than replace it, click Disable Portal. It asks for confirmation too, and the client's link stops working immediately, with no new one issued in its place.
When it doesn't work
If your client says the link stopped working, check the panel's status first: active, expired if the date has passed, or revoked if you disabled it. Either of the last two needs a fresh link: click Regenerate Link to issue a new one and bring the portal back.
