Add a client

Add a buyer, seller, or contact from the Clients page. Once saved, they are searchable everywhere in KeyFlow, including the client picker on any transaction you start.

Before you start

  • If you want KeyFlow to track this person's closing anniversary, check This is a prospect (not yet a client) while you create them. That checkbox is what reveals the Home purchase date (anniversary) field, and there is no way to add that date to this contact later; the field only exists on the create form, not on edit.

Steps

  1. Open the Clients page from the main navigation.

  2. Click +New Client. This opens a search box for your workspace contacts and Google Contacts, not a blank form directly.

  3. Click Enter manually instead to open the blank client form. Skip this step if you found the person by searching and picked them from the results instead; picking an existing workspace contact opens it for editing rather than creating a duplicate.

  4. Choose Individual or Entity.

  5. Fill in First name and Last name. Both are required. Email and Phone are not; add what you have and fill in the rest later.

  6. Check This is a prospect (not yet a client) if you have not closed a deal with this person yet. This flags them into your prospect counts instead of your active client totals, and reveals the Home purchase date (anniversary) field if you know it.

  7. Click Save client.

What you should see

The Clients page with the new contact's card in the list, searchable immediately, including from the client picker the next time you start a transaction.

When it doesn't work

  • Save client stays blocked with a field error under First name or Last name (or Business name for an Entity) until those are filled in. Email and phone never block the save.
  • You searched for a name and picked a result, but nothing new appeared in your client list. That is expected if the result you picked was already a workspace contact: KeyFlow opens the existing record for editing instead of creating a second copy of the same person.
