How do I keep my contacts in sync with Google?
Last updated Aug 25, 2026
Google Contacts and Google Calendar both run on the workspace owner's Google connection, one connection for the whole workspace, not one per member. Gmail is the exception: every member connects their own, because sending email is personal, but importing contacts and syncing a calendar are not something each member sets up separately.
Before you start
- Only the workspace owner sees the option to connect Contacts and Calendar. A regular member's own Settings only offers to connect Gmail.
Steps
As the workspace owner, go to Settings, then Integrations.
Click Connect Google (or Reconnect Google if a connection already exists).
Approve the requested access. Everyone gets Gmail send access on their own connection; the owner's connection additionally grants read access to Google Contacts and access to Google Calendar.
From then on, anyone in the workspace, not only the owner, can search and import from Google Contacts when adding a client.
Fictional workspace: synthetic contacts.
What you should see
Settings' Integrations tab shows Connected next to Gmail for anyone who has connected their own, and, for the owner only, next to Contacts and Calendar as well. A member searching for a new client sees Google Contacts results alongside existing workspace contacts, sourced from the owner's connection, not their own.
When it doesn't work
- Google Contacts results stop appearing when adding a client. The owner's Google connection has likely lapsed. Since KeyFlow only signs in with Google, there is no separate password to fall back on; the owner needs to return to Settings and Integrations and click Reconnect Google to restore it for the whole workspace.
- A team member expected their own Google Contacts to show up, and instead sees the owner's. That is expected: Contacts always reads from the owner's connection, never a member's own, regardless of who is doing the search.
