Troubleshoot common problems

Most failures in KeyFlow are quiet: something looks missing or stuck rather than throwing an error you could screenshot and send us. Find the symptom below and try its fix before assuming something needs re-entering or reporting.

Emails aren't sending

Sending from a transaction goes out through your own connected Google account, not a shared company address, so it needs your authorization current before it will send at all. If that authorization has lapsed, the composer stops you before it tries, with a message asking you to reconnect rather than failing silently partway through.

Fix: reconnect once. The message you were about to send should go out the same way it always has.

A client can't open the portal

A portal link fails for one of a small, checkable set of reasons:

  • It expired. The default is ninety days from when you shared it, up to a maximum of six months if you set a longer window yourself, and it does not renew on its own.
  • It was regenerated since you sent it. Generating a new link kills the old one the instant the new one exists.
  • The last name typed at the door does not match the last name on the deal. That is a different problem from a broken link, and usually just a typo on her end.
  • Several wrong attempts in a row lock the link for a short period as a precaution.

Fix: check which of the four applies before sending a brand-new link. If she has already tried a few spellings of her own name, waiting a few minutes for the lockout to clear is the actual fix, not a new link.

A Google account is disconnected

KeyFlow signs you in through Google, with no separate password behind it, so a disconnected Google account is never just cosmetic. It is what stands between you and the rest of the product, calendar and contacts syncing included.

One specific version of this used to be a real bug on our end: after a failed connection check, an early build kept re-checking nonstop instead of waiting between tries, which made the whole page feel like it was straining under nothing. That is fixed now.

Fix: reconnect once. If reconnecting does not clear the banner, refresh the page rather than clicking reconnect again and again.

A deal is missing from the list

If a deal you know you entered is not where you expect it, search for it by name before assuming it needs re-entering.

KeyFlow shipped exactly this failure once: a list sorted by close date silently dropped every deal that did not have one yet, and a buyer still house-hunting with no offer written has no close date to sort by. New deals were vanishing from a list that should never have hidden them. Sorting was changed to stop depending on a field a deal might not have, but the habit is worth keeping regardless.

Fix: search by name first. A deal that looks missing usually is not.
