Record income that is not tied to a transaction

Last updated Aug 25, 2026

Applies to: realtor

Record income that did not come through a transaction under contract, such as a referral fee or a bonus payment, and it counts alongside your closed commission for the year.

Before you start

  • The Income page is not available in transaction coordinator mode. Opening it (or Expenses) while coordinator mode is on sends you back to the dashboard instead. That is deliberate, not a bug: Income tracks a realtor's personal commission math, and a coordinator's job is the file, not the take-home.

Steps

  1. Click + Add income at the top of the Income page.

    Fictional workspace: synthetic income figures.
The Add Income form in KeyFlow, open above the monthly income chart.
  2. Choose an Income Category. Pick + New Income Category from the list if nothing fits yet.

  3. Optional: choose an Income Subcategory, or add one with + New Income Subcategory, which appears once a category is selected.

  4. Fill in Income Name, an Amount, and a Date. All three are required to save.

  5. Optional: link a Transaction if a specific deal caused this income, even a deal you did not personally close. A referral fee traces back to a specific buyer you handed to someone else; leaving that link out just because the sale was not technically yours is how the entry sits there a year from now with no explanation attached.

  6. Optional: add Notes for context you will want later.

  7. Click Add Income.

What you should see

The entry rolls into the KPI row at the top of the Income page alongside closed commission and pipeline from deals still under contract, and it groups under whichever category you picked in the Income by category table further down.

When it doesn't work

  • You saved an entry but it is missing from the totals. The Income page's date filter defaults to This year. An entry dated in a prior year will not appear in the KPIs or the category table until you switch the filter to All time or a custom range that covers it. This is why the Date field matters: backdate the entry to when the money actually arrived, not to today, then adjust the filter to see it.
  • Add Income stays unavailable until Income Category, Income Name, Amount, and Date are all filled in.
