How do I close out a month?

Last updated Aug 25, 2026

Closing out a month in KeyFlow is a review, not an action: switch the Expenses page's date filter to the month that just ended and read the totals. Nothing gets filed away, archived, or locked when a month ends.

Before you start

  • Expenses is an agent-only page. If your account is switched into transaction coordinator mode, opening it sends you back to the dashboard instead.

Steps

  1. Go to the Expenses page.
  2. Switch the date-range filter from This year to Last month. This month stops counting at today rather than the end of the month, so it only shows a partial total while the month is still running; Last month is the one that gives you the full picture once it has actually ended.
  3. Read the summary card's total spend for that period.
  4. Do the same on the Income page if you also want the month's income side, not just its spending: the same Last month preset is there.

What you should see

Last month's total spend, and if you checked Income too, last month's total income. Both numbers stay exactly as recorded even after the calendar turns to a new month; there is no monthly close step that locks them.

When it doesn't work

  • You expect a deal that closed last month to move into an "Archive" section, and it doesn't. A deal's Active or Archive bucket is derived from its close year, not its close month, and its status stays canonical, Sold or Terminated, the whole time; the bucket label is only computed for display. A deal that closed last month is still this calendar year's business and stays in Active, right alongside a deal still under contract, until the year itself turns over. Only then does it drop into the Archive tab, grouped under the year it closed in.

  • A cost tied to one specific deal is missing from this page's month total. That deal's own per-deal cost stack lives on its Financials tab, not with the workspace's overhead spending this page tracks; the two totals are deliberately separate, and switching to Last month doesn't merge them.

    Fictional workspace: synthetic expenses.
