Work a deal down its closing path

The Overview tab lays out every milestone between a signed contract and closing on one timeline, in the same fixed order on every deal of that type. Most of the dates compute automatically from the contract date instead of being typed in one at a time.

Before you start

  • Dates only compute once Contract Date is set on the Details tab. Before that, the timeline shows just its two starting points, Listing Date and Contract Date, with nothing computed below them.
  • A milestone that does not apply to this deal (inspection waived, no homeowners association (HOA) requirement, a cash buyer skipping the financed-only milestones) does not appear at all. That is expected, not a missing feature.

Steps

  1. Open the transaction and go to its Overview tab.

  2. Read the timeline: Listing Date and Contract Date at the top, already marked complete because they are the deal's own starting points, then Earnest Money Due, Inspection Period Ends, and the rest of the chain down to Closing Date, in the same order on every deal of that type.

  3. To move one milestone off its computed date without touching the contract date, click Reschedule on that milestone's row, pick a new date, and save.

    Rescheduling one milestone clears any other milestone you had previously rescheduled by hand on this deal. Only the one you just moved keeps its new date; anything that chains off it recomputes from there. If you need two milestones pinned to dates the formula would not produce on its own, reschedule them in the order you want them to survive: the last one you reschedule wins.

  4. To move the contract date itself instead, because a renegotiation pushed the whole deal back or a typo needs fixing, edit Contract Date on the Details tab. Every computed milestone shifts with it. A milestone you already rescheduled by hand keeps the date you gave it, and the chain picks up again from there rather than getting overwritten.

  5. To add a milestone that is not part of the standard set, a final walkthrough, a document signing, an HOA approval, click + Add milestone below the timeline.

  6. In the dialog, enter a title and pick a date. Turn on Visible to client if you want the milestone to show in the client portal; it is off by default, so an internal reminder stays private unless you flip it.

  7. Click Add milestone to save it. It joins the timeline alongside the standard milestones with no derived date and no cascade: it only moves again if you edit it directly.

  8. Mark a milestone complete as you finish it, by clicking its row. "What happens when I mark a milestone complete?" covers what that single click changes on your dashboard and your client's portal, and what it does not undo.

What you should see

Every applicable milestone for this deal, standard and custom, on one timeline in a fixed order, each carrying a computed or manually set date.

When it doesn't work

  • Nothing is computing. Confirm Contract Date is set. A milestone tied to a day count your deal does not have configured, or one that does not apply to this deal, simply will not appear.
  • A milestone you rescheduled earlier is back at its computed date. Rescheduling any other milestone on the same deal clears every manual override except the one you are setting, not only the ones downstream of it.
