Mark a milestone complete
Last updated Aug 25, 2026
Click a milestone's status dot on the closing path, and three things update immediately: your client's portal timeline if you have shared one, your dashboard's count of milestones needing attention, and any digest email still due to go out for this deal.
Before you start
- Two milestones on the closing path can never be marked or unmarked: Listing went live and Offer accepted. Those are treated as complete the instant their date exists, since they are facts already on file rather than something you finish.
Steps
Open the transaction and go to the Overview tab, where the closing path lives.
Fictional workspace: synthetic transaction. Find the milestone in the closing path timeline.
Fictional workspace: synthetic closing path. Click the milestone's status dot. Marking it complete happens immediately; there is nothing to confirm.
What you should see
The dot fills in and the row shows as complete. Behind it, three things already happened: your client's portal timeline, if you have shared a link, now shows that milestone as done; your dashboard's count of milestones needing attention drops by one; and a digest email still queued for this deal reflects the new state rather than the old one.
To undo it
Click the same dot again. KeyFlow asks you to confirm ("Mark incomplete?") before it clears the completion date and returns the milestone to wherever its due date puts it: current, upcoming, or overdue.
What undoing does not touch is anything that already happened because of the first click. A digest email already sent to your client showed the milestone as done, and marking it incomplete afterward does not recall that message.
What the client sees
The same timeline you see, filtered to what she is allowed to see. Milestones you have marked complete show as complete in her portal, in the same order, with the same labels. She cannot mark anything herself, and she cannot see a milestone at all until you have shared a portal link with her.
When it doesn't work
If a deal you just updated does not seem to be where you expect, on a list or on the dashboard, that is worth a second look rather than a shrug. KeyFlow has shipped exactly that failure before: a transaction list sorted by close date silently dropped every deal that did not have one yet. A buyer still house-hunting has no close date, so brand-new deals were vanishing from a list that never should have hidden them. The fix stopped sorting on a field a deal might not have, but it is the reason a deal that seems to be missing is worth searching for by name before you assume it needs re-entering.
