What goes into the Upcoming Milestones Digest?

The Upcoming Milestones Digest is an email to your workspace, not to clients: it summarizes what's coming up and overdue across your own transactions, sent daily or weekly on whatever schedule the workspace owner set.

What it includes

Eight standard milestone types feed the digest, earnest money due, inspection period ends, homeowners insurance due, intent to proceed, final walkthrough, closing date, second walkthrough, and occupancy date, and the owner chooses which of the eight to include when setting up the automation. Any custom milestone added to a specific deal is different: it always ships in the digest once it exists, with no opt-in toggle, as long as it isn't marked complete and its date falls inside the lead-time window.

A milestone drops out of the digest the moment it is marked complete, even if its date is still in the future. A Seller-side deal never shows the homeowners insurance milestone, since that one doesn't apply on that side. And a Terminated deal is skipped entirely; it's no longer being actively worked, so nothing on it is due.

How it's organized

Each milestone lands in one of four groups by how close its date is: this week (0 to 7 days out), later (further out, up to the lead-time window, 14 days by default), recent (1 to 59 days overdue), and stale (60 or more days overdue). The lead-time window itself is configurable from the Automations page; a shorter window means fewer, more urgent milestones per email, and a longer one surfaces things further ahead.

Who receives it

Every workspace member, by default. Each person controls their own subscription independently, opting out (or back in) without needing the owner to do it for them. The owner sees who is currently subscribed but cannot change another member's setting from that view.

When it doesn't work

  • A milestone you expect never shows up. Check three things in order: is it marked complete already, is its type turned off for the workspace, and does its date fall outside the lead-time window. Any one of those is enough to leave it out.
