Track a closing anniversary

KeyFlow surfaces a closing anniversary automatically for every Buyer-side deal that closed, plus for a prospect whose home purchase date you typed in by hand. There is nothing to turn on: enter a closing date, and the anniversary appears on its own.

Before you start

  • Only a deal where you represented the buyer, and it actually closed, produces a closing anniversary. A listing you sold for someone does not generate one: she sold the house, she did not buy it, so there is no purchase date to mark a year of ownership against. A lease or a rental does not generate one either, for the same reason.
  • The transaction needs a closing date. Without one, there is no date to project an anniversary from.
  • A prospect contact with a Home purchase date (anniversary) filled in, the field on the Add or Edit client form, gets its own anniversary too, even with no transaction behind it. That is the one exception to the buyer-deal-only rule: it is keyed to a date you typed in by hand, not to a status any deal has to reach.

Steps

  1. Open the Clients page.
  2. Click the Anniversaries tab.
  3. Review the entries, grouped by month with the soonest month first. Each card shows the days until, the closed date, and the commission; a prospect entry, having no transaction, shows neither a property address nor a commission, and carries a Prospect badge instead.
  4. Look for a gold N-year milestone badge. It marks the first anniversary and every fifth one after that (5, 10, 15, and so on).
  5. Optional: click Send note on a card to email that client about the day. This button is disabled, with a "No email on file" label, when the client record has no email address.
  6. Optional: click Stop reminders on a card to silence it, for a client who asked not to be contacted again or a relationship that ended on bad terms. This affects only that one card; there is no workspace-wide switch.
  7. Optional: click Muted (N) near the bottom of the list to expand the muted cards, then click Restore on one to bring it back.

What you should see

Cards grouped under month headers like JUNE 2026, in rolling chronological order starting from the current month. A muted card's Send note button disappears; the card itself moves under the collapsed Muted (N) section instead of showing among the active ones.
