How do I build a checklist template?

Last updated Aug 25, 2026

Build a reusable, outline-style checklist once in Checklist Templates, then attach it to any deal's Client Checklists tab, where it tracks progress against that specific transaction.

Before you start

  • A template's Target audience and Transaction type settings decide where it shows up later, and neither is visible from inside a deal, only from the editor. Set them before you save, or the template may not appear where you expect when it is time to attach it.

Steps

  1. Open Checklist Templates from the main navigation.

    Fictional workspace: synthetic templates.
    The Checklist Templates page header.
  2. Click the folder this template belongs in. System folders, Buyer, Seller, and Rent/Lease, are pinned at the top; a folder you create yourself holds anything of your own.

  3. Click + New template.

    Fictional workspace: synthetic template.
The Checklist Template editor pane, with Transaction type, Target audience, and the outline.
  4. Set Transaction type (pick one or combine several) and Target audience (Clients, Agents, or both). These two fields are the whole matcher: Transaction type decides which side of a deal sees this template offered by default when someone opens the Attach template picker there, and a template without Clients in its target audience never appears in that picker at all, no matter what type it targets. A checkbox in the picker called Show all types bypasses the type match, but never the audience check, so an Agents-only template stays invisible to that picker either way.

Fictional workspace: synthetic checklist attach picker.
The Attach template picker on a deal's Client Checklists tab, with Show all types checked to list templates regardless of Transaction type.
  5. Write the outline. Press Enter for a new item, Tab to indent one level under the item above it, and Shift+Tab to pull it back out. Pasting a list into an empty row imports every line as a separate item at once, indentation and bullet markers included, faster than typing each one by hand.

  6. Click Save template.

What you should see

The template listed in its folder, grouped by stage by default. Opening a deal that matches its type and audience now offers it from that deal's Attach template picker.

When it doesn't work

  • A template does not show up when attaching one to a deal, even with Show all types checked. Its Target audience almost certainly does not include Clients. That gate always applies, in every deal, regardless of the type filter.
